Event photo QR code

Help participants find your event gallery with a scan

Place your event QR code where participants pause, then tell them how to join and share photos. It works as a browser entry to your private event.

For your event

Plan the entry point as part of the programme

At a busy event, a code without context is easy to ignore. Place it alongside a direct request to share photos, at a readable distance and in a moment when people can use their phones. Keep a link and event code available for participants who prefer another route.

What you can control

Give the QR code a useful job

01

Registration and breaks

Introduce photo sharing after the main arrival task or during a break. Avoid making people upload while a queue waits behind them.

02

A shared display

Use a slide between programme segments or a nearby sign. Keep the code readable and separate from moving content.

03

A follow-up link

Send the event link after the gathering so photos already on participants’ phones can still be contributed during the access period.

From setup to the first photo

Check the complete QR upload journey

  1. Step 1

    Configure your gallery

Enable uploads and select guest or sign-in access, approval and downloads. Check that your plan has the capacity you need.

  2. Step 2

    Prepare the sign

Use the event QR entry with a short headline, a clear instruction and the event code as a fallback. Test the printed or projected version.

  3. Step 3

    Join as a participant

Scan on a separate phone, follow the entry flow and upload a photo. Verify the result in the gallery and on any enabled Live Screen.

Practical inspiration

Places that suit different events

  • A birthday table card
  • A reunion programme
  • A team-day break area
  • A community gathering welcome desk
  • A photo corner sign
  • A static slide between sessions

A sign for a team gathering

“Share a moment from today. Scan to join our event and add a photo. Please keep confidential information and people who prefer not to be photographed out of the frame.”

State any sign-in requirement alongside the instruction. If photos need approval, tell participants that they may take a little time to appear.

Connectivity and physical testing

Scanning a QR code and uploading a photo are different checks. Try both using the connection participants will have at the venue.

Check glare, viewing distance and the quiet area around the code. Provide the event link afterwards for anyone whose phone or connection did not work on site.

Make photo sharing easy to find

Prepare the event destination, then build the signs and test them where participants will use them.
