Ask for a few favourite photos, make the upload destination easy to find and show guests that their contribution is welcome. Clear instructions and good timing remove more friction than repeated announcements.
Guests came to celebrate with you. Keep photo sharing optional and brief so it adds to the day without competing with the people and moments they are enjoying.
Ask for something people can picture
A request like “add a table selfie or a moment that made you laugh” is easier to act on than “upload all your content.” Give two or three examples, then leave room for guests’ own favourites.
For a quieter wedding, ask for decorations, a view of the venue or a detail someone helped create. Not every contribution needs a person posing in it.
Explain the entry before guests try it
State whether the event uses display-name guest access or sign-in. In Eventringo there is no app installation, but joining still has an entry step and uploading still requires a connection.
Test the QR card and upload path on a separate phone. Fix disabled uploads, unclear wording or an unexpected approval state before you ask a whole room to use it.
Choose one useful moment to introduce sharing
A short mention during a relaxed reception moment can explain the table cards. Ask someone helping with the day to show the process to a guest who needs assistance.
Avoid interrupting a ceremony, speech or meal just to increase uploads. A reminder at a natural transition lets guests participate at their own pace.
Use a small activity when it fits
Photo Bingo can give guests a reason to capture specific moments. A 3×3 board can be enough for a short, relaxed activity; choose prompts available at your venue and during your actual schedule.
If you offer a prize, explain how you will choose the winner before play starts. Include detail prompts as alternatives to selfies, and leave out tasks that pressure people to drink or embarrass someone.
Send a warm follow-up
A useful message is: “Thank you for celebrating with us. If you have a few favourite photos from the day, we would love to see them in our gallery: [your event link].” Add the relevant entry instruction and send it while access remains available.
Review and save the collection before its access and storage period ends. Do not treat a guest’s event upload as blanket permission to post their photo publicly; check what is appropriate for the people in it.
- A specific, small request
- A QR card and direct link
- An honest joining instruction
- A reminder at a relaxed moment
- Optional participation
- One follow-up while access is open
